What information we collect and why
Free case emails
If you sign up for our free case emails, we collect your email address, your sign-up and confirmation records, and information about your subscription status. We use this information to send the free weekly case report and occasional Archive updates you requested. Our basis for sending these emails is your consent. We may use information about email delivery and interactions to manage the mailing list and improve the emails. You can withdraw consent at any time using the unsubscribe link in an email or by contacting us. Free email sign-up does not create a paid membership.
Accounts and paid membership
If you create an account or join as a paid member, we collect the information you enter during registration and checkout, which may include your name, email address, username and billing details. We also keep membership level and status, order and subscription records, and the information needed to provide access to your account and paid reports. We use this information to perform our contract with you, manage your account and answer requests about your membership. We keep records required for tax and accounting under our legal obligations. WordPress and Paid Memberships Pro manage accounts and membership access.
Paid membership does not automatically sign you up for free case emails. To receive those emails, use the separate newsletter form.
Payments
Stripe is the payment provider for paid memberships. Information entered during checkout is processed for payment and fraud prevention. We receive the information needed to administer your membership, such as payment status, transaction references and billing records. See Stripe’s Privacy Policy for how Stripe handles personal information.
Messages and comments
If you contact us by email, we use your message and address to respond and retain the correspondence as needed to deal with your request. We rely on our legitimate interest in responding to enquiries and keeping an appropriate record. If comments are enabled on a report and you submit one, WordPress may collect the details entered in the comment form together with your IP address and browser information to support moderation and spam prevention. Our legitimate interest is in operating a safe discussion space; approved comments may be visible publicly.
Services we use
IONOS hosts the website. Brevo processes newsletter sign-ups and sends the free case emails; FluentSMTP routes operational WordPress messages, such as account emails, through Brevo. Paid Memberships Pro manages membership records and Stripe processes membership payments. Email sent to our website address may be forwarded to a Gmail inbox so that we can respond. These providers process information as needed to deliver their services.
Some providers may process information outside the UK. Where a restricted international transfer occurs, we rely on the applicable UK adequacy regulations or the provider’s appropriate contractual safeguards, as relevant. Email us for information about the safeguards for a particular provider.
Cookies and content from other websites
WordPress uses cookies needed for account login and site operation. Payment checkout and content embedded from another website may involve additional cookies or data collection by the relevant provider. An embedded item can behave as though you visited its original website. We will update this notice if we add analytics, advertising or other optional tracking technologies.
How long we keep information
We keep newsletter information while you are subscribed, then retain only the limited records needed to record your preferences or deal with a request. We keep account and membership information while your account is active and afterwards only as needed for accounting, legal obligations, disputes or support. Correspondence is kept for as long as needed to resolve the matter and maintain appropriate records. Published comments may remain until removed or the associated page is deleted. We review information and remove or anonymise it when it is no longer needed.
Your choices and rights
You may unsubscribe from case emails at any time using the link in each email. You may also ask us to access, correct or delete your personal information, restrict or object to certain uses, or provide a copy where the law gives you that right. Where we rely on consent, you may withdraw it without affecting processing carried out before withdrawal. Contact hello@theanomalousarchive.com to make a request. We may need to verify your identity and may need to retain some information where the law requires it.
You can also complain to the UK Information Commissioner’s Office at ico.org.uk.
Changes to this notice
We will update this page if the way the Archive handles personal information changes.
